SHORT TERM LICENSE PROGRAM
This program empowers property owners to have control over their rentals by choosing their own pricing on their Airbnb/VRBO listings, whether they choose to manage their unit directly or through an approved property manager.
We ensure a seamless guest experience by requiring all guests to register and check in at the front desk.
Please note, Island Colony Partners does not offer property management services, but we do offer cleaning and maintenance services for your Short-term Rental Vacation units. If your preferred Property Manager/3rd party vendor is already registered with us, they do not need to submit the P.M./3rd Party registration forms or agreements.

FAQ and Checklist
To ensure a smooth application process, we have provided helpful, detailed steps for you to follow down below:
1. Short-term Rental License Agreement – Kindly contact our office via email to obtain the latest agreement. Below are the sections on the agreement that require completion:
a. Page 1 – Section 2 Licensee – Complete owner information, including name, address, email address. 2B Anniversary Date – Blank if you are a NEW sign up. Input your unit number in the first paragraph under “Recitals”.
b. Page 5 – 12B Please fill in all the info requested.
c. Page 7 – Please sign, print name, title & date.
2. Owner Registration Form – see below of additional required documents listed on the form:
a. GET License – https://tax.hawaii.gov/geninfo/get/
b. TAT License – https://tax.hawaii.gov/forms/a1_b2_2tat/
c. Tax Clearance – https://tax.hawaii.gov/geninfo/a2_b2_3tax_clearance/
d. Certificate of Insurance – must have $1mil liability insurance & list Island Colony Partners as additional interest
e. Initial fees – $1,000 initial sign-up fee ($500 on transfer), Initial front desk fee & royalty fee. Can be paid via check or Tenant Cloud.
3. Room Inspection
a. Prior to unit approval, it is essential to conduct a room inspection, which can be scheduled with our office every Wednesday from 11 AM to 3 PM. Please complete any ongoing renovations before the designated inspection to avoid rescheduling. 4. Set up Tenant Cloud account
a. Tenant Cloud serves as our online portal for owners to pay monthly front desk fees and royalty fees. After receiving all necessary documents and completing your room inspection, we’ll notify our accounting department. They will then provide a link for you to set up your Tenant Cloud account and pay initial fees. Alternatively, you can opt to pay the initial fees via check and establish your Tenant Cloud account afterward but note an account must be sent up before the final approval is issued.
5. Pending License Approval
a. After completing the steps above, your file will undergo a final approval review, a process that may take up to two weeks. Please be aware that accepting Airbnb/VRBO reservations before receiving your officially approved license is against our policy.
b. Upon approval, we will send you your official Short-term Rental License along with a welcome letter outlining the next steps for the check-in/check-out process for your guests. You are then free to accept guest reservations.
Short-term License owners are required to engage only with approved vendors, including property managers, cleaners, and maintenance services. All chosen companies must be registered and approved. Should you opt for a vendor not currently approved by Island Colony, they can submit the necessary documents below for approval.
